Shows, dates, cities, travelers, hotel preferences, accessibility needs, approval rules, the approved payment method, and billing requirements are organized in one working record.
Share your show calendar and traveler needs. We compare organizer-published official housing with eligible options from our established supplier channels, then recommend the strongest overall fit across total price, location, flexibility, deadlines, and cancellation terms. One coordinator carries the work through confirmation and routine changes.
We review the organizer’s published hotel program and, when the show rules and written scope allow, compare it with eligible options from our established supplier channels. We evaluate known total price, location, travel time, deposits, cancellation terms, flexibility, and booking deadlines—then coordinate the approved choice across your show calendar.
You provide the shows, dates, traveler requirements, preferences, and approval rules. Convention Travels organizes the information, prepares a decision-ready comparison, and remains the coordination point for the agreed scope.

We review the organizer’s published housing path and, when permitted, compare eligible supplier options on known total price, location, travel time, deposits, cancellation terms, flexibility, deadlines, and booking channel.
Your team selects an option with the important conditions visible. Availability and price can change until written confirmation is issued.
Within the agreed scope, we coordinate rooming lists, confirmations, and routine change or cancellation requests. A request is complete only after written confirmation from Convention Travels or the identified supplier.
A named coordinator runs the work between your calendar and the hotel confirmation, tracks deadlines, and keeps the terms and approvals visible. We use experience and current availability signals to flag higher sell-out risk early, without claiming inventory is secured before confirmation.
Every engagement is governed by a written scope, clear responsibilities, defined service hours, and the applicable supplier terms.

Groups of 5 or more receive a dedicated group account manager. Very large programs require a custom written operating plan.
Human-led hotel coordination for solo business travelers, client visits, and team movements. Groups of 5 or more receive dedicated account management when the company needs an accountable person, not only a self-service tool.
Coordination of airport, hotel, venue, and other local transfers when expressly included in scope.
A consolidated view of shows, owners, statuses, deadlines, next actions, and booking channels to reduce handoffs among marketing, sales, finance, and travelers.
Flights are offered only after ticketing, change, refund, and after-hours servicing capabilities are confirmed in writing. They are not included by default.
Booking is only one step. The real work is connecting dates, organizer rules, hotel options, approvals, traveler names, deadlines, confirmations, and changes.

Convention Travels is not a show’s official housing provider unless that status is expressly confirmed in writing. We review organizer-published information to help the client understand available options.
Availability, price, location, and terms depend on suppliers and may change before confirmation. We do not guarantee the lowest rate, specific inventory, a sell-out date, or prevention of every fraud attempt. Recurring solo travelers are eligible. Large programs—including requirements approaching 1,000 travelers—are accepted only with a written capacity, inventory, contracting, payment, staffing, and support plan.
Convention Travels can coordinate recurring hotel requirements for one business traveler, client visits, sales meetings, and team travel. Groups of 5 or more receive a dedicated account manager; larger programs require capacity, room nights, change volume, service hours, payment, and approval rules to be defined in advance.

We prioritize companies where travel work is shared among marketing, sales, finance, executive support, and operations. Industry alone does not determine fit; show frequency, traveler volume, requirements, and internal process matter more.

A tightly bounded first engagement to evaluate the working model. Convention Travels waives its service fee; the client remains responsible for travel and supplier costs.

Convention Travels waives its service fee for an accepted pilot. The client remains responsible for hotels, taxes, supplier charges, deposits, cancellation penalties, non-refundable amounts, and other travel costs. A booking channel may pay Convention Travels a commission, margin, or other compensation; if applicable, it must be identified in the agreed commercial terms.
The pilot is subject to account fit, operating capacity, an accepted payment method, and written scope approval. Applications are not automatically accepted.
Apply for the PilotA consistent travel contact reduces the need to respond to unsolicited hotel offers and pressure-driven booking messages. Convention Travels verifies the identified channel, presents important terms before approval, tracks deadlines, and keeps an approval record for the agreed scope.
The client knows who coordinates the request and where changes should be sent.
The proposal or booking record identifies the hotel, wholesaler, transportation provider, or other relevant channel.
Key deposit, cancellation, refund, and change rules are shown before approval when available.
Important decisions and authorizations are recorded in writing.
When card payment is offered, full card data must be entered in an approved hosted payment flow, not email, chat, an ordinary contact form, or a spreadsheet.
A change or cancellation takes effect only after written confirmation from Convention Travels or the identified supplier.
No service can guarantee prevention of every fraud attempt. Our known-contact and documented-booking workflow is designed to reduce exposure to unsolicited offers, hidden or aggressive cancellation terms, and pressure caused by approaching deadlines. Availability is secured only after written confirmation.
Convention Travels describes itself as an official housing provider only when written authorization confirms that status.
The experience behind Convention Travels comes from hands-on coordination of trade-show housing in the United States and Canada: sourcing hotels through different suppliers, preparing options, invoicing clients, managing deposits and balances, booking rooms, and following changes.
Convention Travels turns that experience into a structured service for SMEs and international exhibitors without an internal travel team. Our role is to connect the calendar, show information, travelers, approvals, suppliers, and confirmations in one documented workflow.
Convention Travels coordinates across languages and time zones. Cities shown are illustrative traveler origins, not company offices or verified local operations.
Our resources help marketing, sales, finance, and operations share one travel workflow. Show- or destination-specific content should display its review date and sources.

Fees depend on scope, volume, complexity, service hours, and support level. The proposal separates service fees, travel and supplier costs, taxes, and important terms.
A commission, margin, or other supplier compensation may apply depending on the channel. Applicable material compensation must be described in accordance with the proposal and approved terms.
The invoicing and payment structure is stated in writing before booking. Deadlines, deposits, balances, and credit terms require express approval.
The hotel’s or supplier’s booking-specific terms govern the travel component. Each quote should show the known deadline, penalties, and whether the rate is refundable.

No service can guarantee elimination of every fraud risk. A known contact, identified channel, written terms, and traceable approval reduce the need to engage with unsolicited offers.
Yes. A business owner or employee attending several shows alone is fully eligible. Groups of 5 or more receive a dedicated group account manager or concierge. Requirements up to 1,000 travelers are treated as custom programs and accepted only after inventory, contracting, payment, staffing, service levels, and operational capacity are confirmed in writing.
Primarily companies attending several recurring shows without a dedicated travel manager and needing one clear owner for hotel coordination. We verify fit before accepting an engagement.
We coordinate North America-bound exhibition travel across time zones and languages. The cities below illustrate possible traveler origins—not offices, client locations, or confirmed local service locations.

In a 20-minute conversation, we will review dates, travelers, the current process, and the biggest source of friction. We will then identify a realistic first scope or explain clearly why the service is not a fit.
